Print Resources Abound…
How far do you walk to get your print job? Is the printer on your desk, in your office or down the hall? We find that in typical office environments there is one print device for every two employees. That means many printers are sitting on desks for convenience or for confidentiality, but at what cost and are they necessary?
Print engines, especially laser printers are severely underutilized. So much so, that we have excess print capacity all around us. Optimum monthly volume on the average laser printer is 3,000 pages per month, but only produces 800. So a company with 500 employees with a 2:1 employee to printer ratio has 250 printers with the capacity to print 750,000 prints per month. That’s a big number and 3 times as much capacity as the company needs. As you can imagine, where there is excess equipment, there is excess money being spent. The laundry list includes everything from hardware costs, toner costs, maintenance kits, service repairs, and lets’ not forget real estate, printers, toner cartridges and parts take up lots of space.
Companies without a print strategy are typically unaware of how much they over buy and over spend. Forward thinking companies challenge themselves to find new ways to improve the bottom line, increase profitability and progress towards best practices for the company, its employees and its customers. Google Map this, Google Map that, MapQuest here, MapQuest there. We can navigate roads to about anywhere. A few years back I read the book, The Fish Philosophy, which is a great read. The book is about the famed Pikes Fish Market in Seattle, Washington. People come from all over the world to see these guys sling fish all over the market. You order a certain fish, the guy at the counter barks out the order and before you know it, a fish conveyer belt starts.
Visitors of the market are amazed at how much fun these guys have doing their job. The public’s interest inspired Pike’s to write the book, which details how the employees at Pike’s subscribe to a philosophy that makes an otherwise mundane somewhat smelly job enjoyable.
One of my favorite parts of the book is the chapter that discusses, “Who are you being while you’re doing what you’re doing.” It encompasses the idea of being aware of your actions while you’re working and how those actions affect your behaviors.
What does this have to do with our business? The answer is everything! At Standley Systems, we pride ourselves in “right sizing.” Simply put we assess our customers’ needs and provide the right equipment for their specific environment. It would be easy to recommend equipment that made us the most profit or help us win a sales contest but that’s just not who we are. In reading the new article in CIO magazine, “IT in 2011: Four Trends that Will Change Priorities”, finding the budget for more bandwidth will be increasing difficult in 2011 for most CIO’s. Add to this, the adjacent pressure now placed on the IT staff to make printing capabilities available from a plethora of mobile devices. Where can the money, in an already squeeze budget, be found? One solution to consider is MPS (Managed Print Services). By allowing a qualified print services provider to take over managing your printer and output devices, most companies are realizing 20 to 30% savings! When you consider that most companies spend between 2 -4% of their total revenues on printing, these savings can be quite substantial.
