You have a rapidly rising number of printers, copiers, scanners, fax machines and data storage devices. And if you’re like most owners and managers, you have no idea how much your equipment fleet is really costing you in consumables, IT support, redundancy, downtime and inefficiencies.
What is Managed Print Services (MPS)?
Research indicates that, on average, 10% of a company’s revenue is spent on printing or documentation of some kind. With some companies, that figure is much higher. MPS is a solution that identifies, controls and manages costs associated with document output. MPS can be a smart decision for a business that owns and operates sev¬eral printers, copiers, scanners and fax machines.
Here’s how it works.
An initial end-to-end assessment includes an inventory of your business’s fleet of equipment and outputs; interviews with staff about their workflow; and discovery of how documents move around your office. We track what is done, how often, and how long it takes.
Once the assessment is completed, we offer you a customized MPS solution where, as a single-source vendor managing your existing fleet, we help streamline your documentation needs, remove hassles, eliminate redundancies, save time and cut waste. With a single provider of fleet maintenance and supplies, you will be free to focus on building your business and boosting your bottom line.
List of Benefits for Manage Print Services with Standley Systems:
1. Convert unknown variable cost into fixed cost.
2. Optimize use of your current print devices.
3. Reduce time consuming help desk calls.
4. Reduce quantity of maintenance and supply vendors.
5. Customized billing/one invoice
6. Improve your business efficiency
7. Ongoing optimization, maintenance of your entire fleet of equipment to minimize costs.
8. Peace of mind, with 24/7 support and service.

Print Resources Abound…
How far do you walk to get your print job? Is the printer on your desk, in your office or down the hall? We find that in typical office environments there is one print device for every two employees. That means many printers are sitting on desks for convenience or for confidentiality, but at what cost and are they necessary?
Print engines, especially laser printers are severely underutilized. So much so, that we have excess print capacity all around us. Optimum monthly volume on the average laser printer is 3,000 pages per month, but only produces 800. So a company with 500 employees with a 2:1 employee to printer ratio has 250 printers with the capacity to print 750,000 prints per month. That’s a big number and 3 times as much capacity as the company needs. As you can imagine, where there is excess equipment, there is excess money being spent. The laundry list includes everything from hardware costs, toner costs, maintenance kits, service repairs, and lets’ not forget real estate, printers, toner cartridges and parts take up lots of space.
Companies without a print strategy are typically unaware of how much they over buy and over spend. Forward thinking companies challenge themselves to find new ways to improve the bottom line, increase profitability and progress towards best practices for the company, its employees and its customers. More money means, more investment in its people, resources and growth.
Take the Optimize Challenge –
- How is inventory managed across the company? Office equipment, toner cartridges, parts, etc.?
- How are operating expenses for printers tracked, monitored and measured?
- What is your monthly usage and what is your current print capacity? Does it match with some room to grow or far exceed what you need?
If just one of our questions above can’t be answered, there is opportunity to improve and it is worth looking into. One of the most important meetings we will have is our initial roundtable discussion. In this meeting our goal is to gain an understanding of your current situation, needs and objectives as we begin the discovery process we can begin to identify targeted areas for improvement.

It is no secret that this country was built on the “small business”. Free enterprise is an integral part of what makes this country great. For as long as America has been in existence, SMB’s or “small-medium sized businesses”, have been a staple for providing jobs and dreams for American people.
SMB’s have and will always be in search of the latest “thing” to increase productivity and efficiency in their business. At the turn of the 20th century it was the telephone, in the 60’s commercial photocopiers were beginning to appear, in the 70’s microcomputers began their expansion, and then the internet took off making business faster than anyone could have ever dreamed.
One problem with this ever-changing world, is keeping up to date and knowledgeable on the latest and greatest technology. This can be a large hassle and often very expensive. There comes a point within every business when managing the latest technology becomes too much of a burden. The solution that many SMB’s are finding is one that makes perfect sense; why not find one partner who is experienced in dealing with exactly this? Why not have a single source for everything related to technology within your workplace? From printers to mail servers, to scanning solutions, and even data backup, wouldn’t it be great to have one professional partner rather than that creepy IT guy who sits in that dark room with the sack of Cheetos’s on his desk?
Studies show that over 47% of SMB’s in today’s market are using some kind of managed services from a third party.
At Standley Systems we can provide exactly that. With our Optimize program, we come into your workplace and conduct a complete analysis and can assist you with as much or as little as your needs require. Saving you money, time, and energy while allowing you to focus on what it is that you do best. Effective Print Strategies to Help Navigate Through Business…
Out of sight, out of mind, not so fast…
Google Map this, Google Map that, MapQuest here, MapQuest there. We can navigate roads to about anywhere. But what about navigating through business effectively and efficiently avoiding unnecessary business costs? Do you have a roadmap that drives your company to maximum efficiency? Do you have full visibility to all operating expenses involved in running your business? Studies say no. Many, many businesses we talk to every day are not aware of how much is spent on those secondary necessities that can erode your budget. Out of sight, out of mind, not so fast…
When the cost of ink is 500 times the cost of oil ($2,000 per gallon), and we don’t have an oil and gas gage to know how much we use or what we spend, that can put a dent in the budget big time. When IT departments have limited visibility as to what types of print devices are on the network, what is being printed and at what volume it makes it difficult to manage and things can get out of control quick. And when manufacturers are almost giving away the printers, but clean house on the toner, selling millions of printers a year, it cause quite a problem for companies, to the tune of 1% to 6% of a companies’ revenue.
So what can we do it about it? Identify what we have, define what we do and develop a road map aligned with our business goals to improve efficiencies. Who in the company has the time, tools and knowhow to do such an analysis? Not many, however there is a trusted partner that helps companies every day: Standley Systems. Not only do we have the expertise, we have technology to logistically map and design solutions dramatically improving your print environment, workflow and business processes. When you transform from a complex to simple operating environment not only are you reducing costs, you are uncovering dollars and opportunities to fund mission critical projects, free your people resources, increase profitability and simplify life.
An average size company with 150 printer and MFP devices could be spending upwards of $10,000.00 per month on printing with savings potential in the 30% range that is $150.00 per day, $3,000.00 per month or $108,000.00 over 3 years. So you can see that urgency to contain costs will put money back into the budget you didn’t know you had. And that is an endeavor worth navigating to. MPSA defines “Managed Print Services is the (pro) active management and optimization of document output devices and related business processes.”
Contact Greg Bilbrey, MPS Specialist at Standley Systems and your work is as good as done. 405.574.1144 or firstname.lastname@example.org We will conduct a Quick View assessment, develop your roadmap, contain costs and implement the most effective strategy for your business.

A few years back I read the book, The Fish Philosophy, which is a great read. The book is about the famed Pikes Fish Market in Seattle, Washington. People come from all over the world to see these guys sling fish all over the market. You order a certain fish, the guy at the counter barks out the order and before you know it, a fish conveyer belt starts.
Visitors of the market are amazed at how much fun these guys have doing their job. The public’s interest inspired Pike’s to write the book, which details how the employees at Pike’s subscribe to a philosophy that makes an otherwise mundane somewhat smelly job enjoyable.
One of my favorite parts of the book is the chapter that discusses, “Who are you being while you’re doing what you’re doing.” It encompasses the idea of being aware of your actions while you’re working and how those actions affect your behaviors.
What does this have to do with our business? The answer is everything! At Standley Systems, we pride ourselves in “right sizing.” Simply put we assess our customers’ needs and provide the right equipment for their specific environment. It would be easy to recommend equipment that made us the most profit or help us win a sales contest but that’s just not who we are. We make our decisions with integrity just as the founder of our company did 77 years ago. Whether it’s copiers, multi-function machines, scanners, printers or software solutions; Standley’s provides the right solution for the right situation for the right reason.
For more information on how Standley Systems can “right size” your organization, please contact Al Reynolds at email@example.com or 405-574-1142.

If only there was a way to setup your office with the optimal amount of equipment. This equipment would allow you to run it at full capacity without losing quality. Instead of having a dozen small printers eating up those super expensive ink cartridges, you could have one machine print, scan to email, copy, fax. What if that machine would actually save you money while making your office more efficient? That would be awesome, right?!
Whether you are a small office in need of one specific type of machine or a large corporation in need of multiple solutions, Standley Systems is here to “right-size” you with our Optimize program. More often than not I find myself walking into an office environment where the company does not have the right-size equipment setup. This could mean they are wasting funds unnecessarily on ink cartridges, supplies, multiple invoices, maintenance, etc. Other common occurrences are small machines that were put in place before the company saw recognizable growth. Now that machine isn’t equipped to handle the increased paper work flow processes.
Those are just some examples of the literally hundreds of ways companies lose money by not taking a closer look at “right-sizing” there office with equipment and solutions, designed to optimize paper workflow.
So how can you right-size your office? Contact Ryan Laube today at 405-574-1153 or firstname.lastname@example.org and put me to work for you.

“Net income”, “net profit” and “bottom line” are key words for the movers and shakers in the business world. Unfortunately there is no single formula that can cure all the ills of a bad bottom line. It takes the education, experience and the “gut feeling” of a good CEO to build and grow a solid net profit.
In today’s market place many CEOs are discovering the huge savings and increased efficiencies associated with managed services. One such program that can really impact your bottom line is the Optimize program from Standley Systems.
Optimize : to make as perfect, effective, or functional as possible
Optimize is a program that initiates with an audit of your current print environment. This program takes a look at Optimizing your efficiencies, processes, security and compliancy. It includes a detailed look at all your devices that input and output paper. This program concludes with an accurate in-depth report that details your current environment including environmental impact and provides various solutions and scenarios to increase your efficiencies, secure your data and add substantial dollars back to your bottom line.
The Optimize program offers more than national statistics and charts, it recovers lost dollars to your budget almost immediately. If your annual revenues were approximately $20,000,000 you could potentially recover $240,000 to your bottom line within the first 12 months. The Optimize program is already saving many Oklahoma organizations from 16 to 49 percent which translates into millions added to their bottom line.
One of our most recent clients said….
…we have captured significant reductions in FTEs and a 49% overall reduction in printing cost, which far exceeded our expectations
Kim Biggs / City of Guthrie
If you are interested in recovering substantial dollars to your bottom line it may be time to Optimize with Standley Systems. Contact Brad Hall at email@example.com or 405-574-1191.

Gaining advantage in business is a constant pursuit. Companies tend to be proactive through R&D, targeting potential clients, advertising, marketing and sales initiatives, but what about “Operations,” behind the scenes? I’m not talking direct operations like warehouse distribution, but indirect operational business assets and budgets that are often overlooked. Those tiny toner cartridges, maintenance kits and repair bills that multiply like “rabbits” or “printers” in the business world, cost companies thousands of dollars per year unnecessarily increasing operational budgets while squeezing profit margins. Over all, document expenditures (including hardware, supplies and “people” costs) average up to six percent (6%) of revenue across all industries according to InfoTrends. $$$$
Standley Systems explores print environments every day and many companies don’t have the visibility, tools and resources needed limiting their ability to control and manage what is really going on to the efficiency levels they would expect.
Ask yourself some questions:
What does your toner closet look like?
How many different cartridges must be ordered and how often?
What are the company’s Total Cost of Operations (TCO) and average Cost Per Print (CPP)?
The majority of companies we work with are surprised at the findings, and once aware want to act quick to contain spending as fast as they can with an Optimize MPS Program with a trusted technology partner like Standley Systems. With our “Quick View” assessment current print assets, resources and inefficiencies are identified, mapped and analyzed providing key data and recommendations resulting in savings from 20% to 40%. Not bad for cleaning out the toner closet… Business advantages of having a “Quick View” done consist of an improved bottom line, a road-map to operational efficiency through simplified processes, and freed up resources including I.T. time, administrative services and power consumption to name a few.
It is all about the speed of business and Standley Systems provide strategies that will accelerate your processes. Our goal is to reduce complexity and simplify management of existing assets, operating costs, processes and document workflows.

In reading the new article in CIO magazine, “IT in 2011: Four Trends that Will Change Priorities”, finding the budget for more bandwidth will be increasing difficult in 2011 for most CIO’s. Add to this, the adjacent pressure now placed on the IT staff to make printing capabilities available from a plethora of mobile devices. Where can the money, in an already squeeze budget, be found? One solution to consider is MPS (Managed Print Services). By allowing a qualified print services provider to take over managing your printer and output devices, most companies are realizing 20 to 30% savings! When you consider that most companies spend between 2 -4% of their total revenues on printing, these savings can be quite substantial. Not to mention the ability to reallocate your IT staff’s time from printer break/fix to projects designed to enhance your company’s competitive edge.
As important, engaging in an MPS solution does not necessarily mean you have to buy anything. Driving costs down on your existing fleet is the first phase of any long-term MPS strategy. Intelligent deployment going forward, minimizes “printer creep”, right-sizes the fleet, and can assist in transitioning to printing solutions that support your growing mobile print demand.
“Doing more with less” as the article explains is at the heart of the MPS value basket. Doing some quick math, if you are CIO for a $10M company, your company is spending around (2%) $200,000 annually on printing. Even if MPS in your organization only captures 10% savings (well below the average), that equates to $20,000 annual savings. Most providers can deliver FIBRE for around $1,000 per month. That still leaves $8,000 for server or other infrastructure upgrades. If you would like to find out more about the benefits of MPS and the other ways MPS can impact your bottom line, download this free ebook.
